Start by clicking the desired form under the "Forms" menu. You will be presented with an image of the form already filled with your employee's payroll data. You can change the data by editing the figures as you would in a spreadsheet or word processor. You can also add information to blank fields (or "boxes") by clicking on the field and typing.
Traditional format W-2 forms come in sets of two, one form on the top half of the page; the second form on the bottom half. This permits you to use one form for two employees. If you only have one employee and you make a mistake printing the first form, you can check the void box and print a new form on the bottom half.
Because there may be slight variations in the horizontal and vertical alignment of output between printers, we recommend that you perform a test print to insure that your employee's payroll data will be properly aligned on your pre-printed form. Alignment adjustments are made with the horizontal and vertical alignment controls found at the top right of the forms window. These adjustments will be saved when you close the window, so you only have to make them once.
To make a test print, place a blank sheet of paper in your printer and click the "Test Print" button. After the test page has printed, hold it up it up against your blank pre-printed form. If the numbers do not properly fall within the pre-printed boxes, you will need to make an alignment adjustment. You can move the print to the left by clicking the left scroll arrows and to the right by clicking the right scroll arrows. Likewise, you can move the print up the page by clicking the up scroll arrows in the vertical alignment control, or down the page by clicking the down scroll arrows. Adjustments in either direction are made in 1/100 of an inch increments. Keep printing tests until you are satisfied with the alignment.
